Police Administrative Assistant

JOB DESCRIPTION: Perform clerical duties in providing non-emergency assistance to the Chief of Police and the Hobart/Lawrence Police Department, individuals calling or visiting the police department and their day-to-day activities, court clerk assistant work, and village business office assistance.  Process citations, memos, and office documents, including typing and data entry.  Receive and document payments to the police department, court or village. The position reports to the Chief of Police, Municipal Court Judge and Village Clerk-Treasurer
 
COMPENSATION: $20.00 per hour ($41,600 annually), with eligibility in the Village’s health insurance, life insurance, retirement and other assorted benefit programs.
 
DUTIES:  Employee is expected to learn to assume the full scope of duties, which may include, but is not limited to, the following:

  • Answer non-emergency phone calls, provide assistance to caller or direct call to appropriate personnel based on the nature of the inquiry.

  • Provide assistance to business office visitors, including police department visitors and court visitors or refer visitors to appropriate personnel.

  • Process traffic & municipal citations, parking tickets and warnings issued by police officers in the computer system.

  • Type and maintain confidential and non-confidential documents.

  • Assist the chief & officers with correspondence.

  • Update & distribute police bulletins, reports, memos, and related documents.

  • Maintain police department files of official documents including reports, citations, confidential records, juvenile records, and similar documents.

  • Maintain all parking tickets after issuance, which includes taking payments and sending second & final parking notices when tickets aren’t paid within the required time period, which may then ultimately result in sending suspension letters for vehicle registrations to the D.O.T.

  • Fulfill records requests pertaining to the police department.  Prepare invoices, receipt payments & send past due notices for invoices not paid.

  • Invoice the town of Lawrence monthly for shared costs of police dept. and municipal court.

  • Participate in on-going training for police computer programs and procedural policies.

  • Maintain file to register officers for biannual TIME certification.

  • Maintain TIME certification & perform background checks for potential new-hires, liquor license applicants & bartenders for both the village of Hobart & the town of Lawrence.

  • Add yearly alarm permits into records management system. Prepare quarterly statements for billable false alarms; mail out & enter payments into RMS.

  • Register officers for training opportunities.  Secure hotel rooms for those events.

  • Serve as cashier, which includes receipting of partial and full payments for court fines, parking tickets, dog licenses, copies, etc.

  • Order office materials and supplies for the police dept., court, village, public works, building inspector, etc.

  • Assist as directed with general office and clerical skills when needed, which will include helping with primary & general elections throughout each year.

  • Perform a number of additional miscellaneous duties.

 
EMPLOYMENT STANDARDS: Requires high school diploma and a minimum of one year of previous office or customer service experience.  Good communication and computer skills as well as the ability to work efficiently in extremely busy, and sometimes stressful situations.  Any equivalent combination of experience and training which provides the knowledge, skills, and abilities to perform the job.
 
PHYSICAL REQUIREMENTS: Ability to operate equipment and machinery requiring simple but continuous adjustments, such as a telephone, calculator, computer, and photocopier. Ability to coordinate eyes, hands, feet, and limbs in performing slightly skilled movements such as typing. Ability to recognize and identify similarities or differences between characteristics of colors, forms and sounds associated with job-related objects, materials, and tasks.
 
ENVIRONMENTAL ADAPTABILITY: Ability to work under generally safe and comfortable conditions where exposure to environmental factors such as irate individuals, intimidation, and deadline pressures may cause discomfort and poses little risk of injury.
